Job Title: Senior LMS Administrator

Department: HR L&D Corporate & Creative

Reports to: L&D Director

 

ROLE SUMMARY: 

We are seeking an experienced and detail-oriented Senior LMS Administrator to own the day-to-day administration, optimization, and governance of our Learning Management System (SAP) and its related learning technologies. This role partners with HR, L&D, Compliance, IT, and business stakeholders to deliver a reliable learner experience, accurate reporting, and scalable learning operations. The Senior LMS Administrator leads LMS-related projects (new feature releases, integrations, migrations, and process improvements), provides advanced troubleshooting and vendor coordination, and supports light instructional design and content administration activities (e.g., course setup standards, templates, and basic edits) to ensure training is accessible, measurable, and aligned to business and compliance needs.

 

KEY DUTIES AND RESPONSIBILITIES:

  • Serve as primary system administrator for the LMS (SAP), including user management, roles/permissions, catalogs, course and curriculum setup, enrollments, assignments, completion tracking, and reporting.
  • Run the LMS content governance process, including intake/review, content standards (naming conventions, metadata, version control), ownership, and archival/retention to ensure consistency, audit readiness, and intuitive learner experience.
  • Handle the project management process in Smartsheet for the L&D team, including maintaining intake/request workflows, project plans, status tracking, and stakeholder dashboards.
  • Lead LMS-related projects from intake through delivery, including requirements gathering, project plans, timelines, risk/issue tracking, stakeholder communication, testing/UAT, and change management.
  • Manage LMS enhancements and release cycles: evaluate new features, coordinate sandbox testing, document impacts, update procedures, and train administrators/power users as needed.
  • Provide advanced troubleshooting and root-cause analysis for learner, course, and reporting issues; escalate and coordinate resolutions with vendors and internal IT.
  • Monitor the LMS and L&D mailboxes for questions and support requests; provide timely responses, triage issues, and route/escalate to the appropriate owner (L&D, Compliance, IT, or vendor) while tracking resolutions.
  • Develop and maintain dashboards and recurring reports for compliance, completions, and program effectiveness; validate data integrity and communicate insights and trends to stakeholders.
  • Support integration and data workflows (e.g., HRIS feeds, SSO, content libraries, and web services) by partnering with IT, defining data requirements, and performing validation and reconciliation.
  • Administer and maintain learning content in the LMS, including SCORM/xAPI uploads, curricula updates, prerequisites, equivalencies, certificates, and automated notifications.
  • Create entry-level instructional design courses as needed, including basic analysis, storyboarding, development, and quality review, aligned to learning objectives and brand standards.
  • Provide light instructional design support by advising on course structure and measurement, maintaining templates/standards, and performing basic edits to e-learning content (e.g., minor Storyline/Rise updates, captions, and job aids) in partnership with Instructional Design.
  • Create and maintain system documentation (SOPs, job aids, workflows) and deliver end-user support and training for administrators and stakeholders.
  • Monitor LMS performance and learner experience (navigation, accessibility, mobile experience) and recommend continuous improvements to increase adoption and reduce support tickets.
  • Support compliance and audit requests by ensuring accurate assignments, completions, and evidence records; maintain data/privacy controls aligned to organizational policies.
  • Partner with SharePoint/communications stakeholders to organize and publish learning resources and system announcements, ensuring intuitive navigation and alignment with branding and content standards.
  • Other responsibilities as assigned.

 

SKILLS AND QUALIFICATIONS:

  • Bachelor’s degree in Instructional Design, Education, Learning & Development, Information Systems, or related field (or equivalent experience).
  • 4–7+ years of experience administering and optimizing an LMS in a corporate environment; demonstrated ownership of complex learning operations.
  • Advanced expertise with LMS administration (SAP preferred), including curricula, automation rules, notifications, catalogs, roles/permissions, and learner support.
  • Strong reporting/analytics capability: ability to build recurring compliance and program reports, validate data integrity, and translate insights into recommendations.
  • Project management experience leading cross-functional initiatives (requirements, timeline management, risk/issue tracking, testing/UAT, and stakeholder communication); Smartsheet experience preferred, including dashboards and portfolio-level tracking.
  • Experience supporting system integrations and user provisioning workflows (e.g., SSO, HRIS feeds, SCORM content, and vendor platforms) in partnership with IT.
  • Experience developing entry-level instructional design courses, including needs analysis, learning objectives, storyboarding, e-learning development, and quality assurance.
  • Familiarity with e-learning content standards (SCORM/xAPI) and authoring tools (e.g., Articulate Rise/Storyline, Adobe); ability to perform basic content edits and troubleshoot course issues.
  • Knowledge of adult learning principles and evaluation approaches (e.g., Kirkpatrick, ADDIE) to support course structure and measurement.
  • Excellent communication, collaboration, and customer-service skills with the ability to work across all levels of the organization.
  • Strong documentation and process discipline; ability to create SOPs, job aids, and governance standards.
  • Demonstrates agility and resilience in adapting to shifting priorities and dynamic business needs.

 

PHYSICAL REQUIREMENTS:

  • Must be able to work seated/standing as appropriate at workstations for extended periods of time.

 

WORK SCHEDULE:

  • 40+ hours weekly with flexible hours depending on business needs.
